# Khata features — 85 across 11 modules

Counted from the source, not estimated: 42 data models and
44 API areas behind 98 screens in the mobile app and
62 pages in the web dashboard, including 15 report types.

## Billing & orders

The counter. Fast enough for a queue, and it finishes whether or not there is a signal.

- Point of sale on phone, tablet and web
- Barcode billing with the phone camera
- Kitchen order tickets for restaurants
- Thermal printer support
- Discounts, and a report of what they cost you
- Order cancellation with a reason recorded
- Menu management for food businesses
- Shareable invoices

## Stock & purchasing

What you hold, what you owe your supplier, and where the difference went.

- Products with cost, selling price and unit
- Categories
- Stock levels with per-item reorder thresholds
- Low-stock alerts
- Inventory movement history, so a change has a trail
- Purchase orders, including partial receipts
- Supplier (party) records and balances
- Your own columns on any record — see Custom fields

## Customers & khata

The credit book, sortable by who has owed you the longest — the list paper cannot give you.

- Customer records with contact details
- Digital khata (udhaar) per customer
- Party ledger with full transaction history
- Dues tracking, sortable by age of balance
- Payment reminders over WhatsApp or SMS
- Credit limits and terms per party
- Customer-wise sales reporting

## Money & accounting

Where cash actually went, not just what you sold.

- Expenses, recorded at the moment money leaves
- Multiple wallets and cash accounts
- Cashflow tracking
- Accounting records and journal
- Business and personal separation
- Daily closing reconciliation
- Profit and loss

## Team & payroll

Staff who can bill without seeing your margins, and a record of who did what.

- Individual staff logins
- Role-based permissions, per module
- Cost price and profit hidden from cashiers
- Attendance tracking
- Salary and payroll records
- Per-staff activity, so an entry carries a name
- Disable an account the day someone leaves

## Chat & tasks

A messenger built into the business, where a task is a message somebody is accountable for.

- One-to-one and group chat between owner and staff
- File, image, PDF and spreadsheet attachments
- Tasks created inside a conversation
- Assign a task to a specific person
- Status: pending, processing, completed, cancelled
- Completed-task history
- Real-time delivery over websockets

## Leads & growth

Enquiries arriving from outside the shop, captured instead of lost in a notification tray.

- Lead records with follow-up tracking
- IndiaMART enquiries captured automatically
- Meta (Facebook and Instagram) lead forms
- Custom lead sources
- Follow-up reminders
- A public store page for your business
- Digital business card
- Referral tracking

## Reports

Fifteen of them, on the phone and on the dashboard — not a single sales summary.

- Sales summary, product-wise and category-wise
- Profit and loss
- Daily closing
- Credit and outstanding dues
- Customer and party reports
- Inventory report
- Expenses and salary
- Payments, discounts and cancellations

## Compliance

Deadline tracking, so a filing date does not pass unnoticed. Not filing itself.

- GST and non-GST invoice formats
- Nepali VAT support, billing in NPR
- Tax calendar with filing deadlines
- Filing status per period
- Exportable records for your accountant

## Spreadsheet view

Every major list opens as an editable grid, for the days when clicking one record at a time is the wrong tool.

- Eleven lists: products, orders, customers, parties, expenses, wallets, stock, staff, payroll, leads and cashflow
- Edit in place, with one Save for the whole batch
- Undo and redo, including a whole paste at once
- Copy and paste to and from Excel and Google Sheets
- Fill down a column, and find-and-replace across a selection
- Formulas across a row or a column, without leaving the page
- Add and delete rows where the list allows it
- Your own columns, twelve kinds, on any of the eleven lists
- Sort, filter, search, freeze and reorder columns
- Saved views, so a filtered layout comes back next time
- Export to CSV or JSON, and import from a spreadsheet
- Cells checked as you type, with the fix suggested where there is an obvious one

## Platform

The parts nobody demos, and the first ones you notice when they are missing.

- Offline billing, with duplicate protection on sync
- Sync across phone, tablet and web
- English, हिन्दी and नेपाली
- Multi-branch support
- Custom fields — your own columns on eleven record types
- App lock
- AI assistant, using your own key
- Support tickets from inside the app

## What Khata does not do

- No batch, expiry or variant tracking, so it does not currently suit pharmacy or garment retail.
- No public developer API or API keys.
- No accounting or tax filing. It keeps records and exports them.
- Syncing is not backup — devices agree with each other, and a deletion syncs too.

## Common questions

**Does Khata file my GST or VAT returns?**

No. Khata produces GST and VAT compliant invoices and the reports your accountant needs to file, but it does not submit returns and there is no e-invoicing. Filing stays with you or your accountant.

**Can I track batches, expiry dates or product variants?**

Not today. Stock is tracked per product, so trades that depend on batch and expiry — pharmacy especially — or on size and colour variants are not well served yet. We would rather say so than sell you a fit that is not there.

**Does billing work when the internet is down?**

Yes, in the mobile app. Bills, payments and stock changes are stored on the device and sent up when you reconnect. The web dashboard and staff portal need a connection.

**Can my staff use it without seeing my profit?**

Yes. You create each staff member with their own login and choose what they can see. A cashier can raise bills and take payments without ever seeing margins, purchase prices or your reports.
