# Khata for Wholesale & distribution

Parties, credit terms and purchase orders

Distribution is a credit business with inventory attached. Khata keeps party terms, purchase orders and stock in one place, and lets staff work without seeing everything.

## What this trade struggles with
- Dozens of parties, each on different credit terms you keep in your head
- Stock moves and nobody can say who changed a quantity or why
- Purchase orders need approval before anyone commits money
- Leads arrive from IndiaMART or Meta and get lost in a phone

## How Khata fits
- **Party terms, recorded** — Credit limit, credit period, opening balance, GST and PAN per party, so terms live in the system rather than in memory.
- **Approval before commitment** — Purchase orders move draft, approved, received. Approval is a separate permission, so the person raising an order need not be the person committing the money.
- **A trail on every stock change** — Inventory movements are recorded, so a quantity that changed has a reason and a name attached rather than appearing to have moved on its own.
- **Leads that land in the system** — IndiaMART enquiries and Meta lead-ad submissions come into Khata directly, with duplicate protection, instead of sitting in someone's inbox.
- **Roles that fit a team** — Manager, cashier and custom roles with granular permissions across orders, stock, parties, purchase orders, accounting and reports.
- **The reports a distributor asks for** — Party statements, credit exposure, product and category movement, payments, expenses and profit and loss.

## Limits, stated on the page itself
- There is no route or van-sales planning, and no delivery-tracking module.
- Branches are in the web dashboard only, which is granted on request. On the free mobile app one account is one shop, so two godowns means two accounts and comparing them is a manual job.

## Common questions

**Can I see which retailers owe me the most, and for the longest?**

Yes, and the second half is the useful one. Dues sort by the age of the balance, so the account that has been quietly open for four months rises to the top instead of hiding behind a bigger, newer one.

**Does it handle purchase orders and part deliveries?**

Yes. Raise a purchase order against a supplier and receive it partially — the outstanding quantity stays open until the rest arrives, so a short delivery does not have to be tracked on paper.

**Can I run more than one godown or branch?**

In the web dashboard, yes — you can create branches and have products, parties and purchase orders carry the location they belong to. On the free mobile app, no: there is no branches screen, so a second godown means a second account with its own stock and khata, and totals across the two are something you add up yourself. Branch support is new, so if several locations are central to your operation, say so before you install rather than after.

**Is there route planning or van sales?**

No. There is no route planning and no delivery-tracking module. If your business is primarily van sales, this is the wrong tool today and we would rather you knew before installing.

**Can I give my salesmen limited access?**

Yes. Each gets their own login with permissions per module, so they can raise orders and see stock without seeing purchase prices, margins or the full customer ledger.
