Meta (Facebook & Instagram) Lead Ads

A lead form on Facebook or Instagram collects a name and a number, and then leaves them sitting in Meta's Business Suite until somebody remembers to export them. By then the buyer has usually called someone else. This delivers each submission to Khata by webhook at the moment it is submitted.

Before you start

  • A Meta business account with a Facebook Page.
  • At least one lead form configured on that Page.
  • A Page access token and your Page ID, both from Meta's tools.

Setting it up

Each step says who does it, so you are never looking for a screen that does not exist.

  1. 1

    Create the lead form

    You

Build the form in Meta's Business Suite or Ads Manager as you normally would. Nothing about the form itself needs to change for Khata.

  2. 2

Get a Page access token and your Page ID

    You

Both come from Meta's own tools. The token must have permission to read leads for that Page. Meta's UI moves these settings around periodically, which is why we describe what you need rather than a click path that will be wrong by next quarter.

  3. 3

Send us the token and Page ID

    You

Through /contact, with your shop name or phone number. Like any access token, treat it as a credential.

  4. 4

We configure your account and subscribe the webhook

    We do this

We attach the token and Page ID to your account and subscribe your Page to leadgen events at our webhook endpoint. Both are master-admin actions.

  5. 5

    Submissions arrive as leads

    Automatic

Meta posts each submission to us as it happens; we read the full field set back from Meta and create the lead against your account.

What moves, and in which direction

Meta → Khata
The fields your lead form collects — typically name, phone and email — plus which form and Page it came from.
Khata → Meta
Nothing. Khata never posts, advertises or messages on your behalf.

How to know it worked

  • Use Meta's lead-form preview to submit a test entry.
  • It should appear in Leads within a few seconds. Meta retries on failure, so a slow first one is not a broken one.

What this does not do

  • Lead forms only. This does not import comments, direct messages or WhatsApp enquiries.
  • A Page access token issued with an expiry stops working when it expires — Meta's rules govern that, not ours.
  • Khata does not create, manage or report on ad campaigns.

When it does not work

Test lead never arrives.
Almost always the token: it has expired, or it lacks permission to read leads for that Page. Issue a fresh one and send it to us.
Leads stopped after a Page change.
Changing Page roles or ownership can invalidate a token. Reissue and send it again.
Only some fields come through.
Khata stores what the form collects. A field missing here is usually a field the form does not ask for.
