Parties, credit terms and stock across branches
Distribution is a credit business with inventory attached. Khata keeps party terms, purchase orders and branch stock in one place, and lets staff work without seeing everything.
What gets in the way
- Dozens of parties, each on different credit terms you keep in your head
- Stock sits across more than one location
- Purchase orders need approval before anyone commits money
- Leads arrive from IndiaMART or Meta and get lost in a phone
How Khata handles it
Every point below is something you can check in the app on the day you install it.
Party terms, recorded
Credit limit, credit period, opening balance, GST and PAN per party, so terms live in the system rather than in memory.
Approval before commitment
Purchase orders move draft, approved, received. Approval is a separate permission, so the person raising an order need not be the person committing the money.
More than one location
Branches are first-class, and purchase orders can be raised against a specific branch.
Leads that land in the system
IndiaMART enquiries and Meta lead-ad submissions come into Khata directly, with duplicate protection, instead of sitting in someone's inbox.
Roles that fit a team
Manager, cashier and custom roles with granular permissions across orders, stock, parties, purchase orders, accounting and reports.
The reports a distributor asks for
Party statements, credit exposure, product and category movement, payments, expenses and profit and loss.
What Khata does not do for wholesale & distribution
Worth knowing before you move your books across.
- There is no route or van-sales planning, and no delivery-tracking module.
- Stock transfers between branches are not automated as a single workflow.
